Planned vs. unplanned EHR downtime: what hospitals need to prepare
The difference between planned and unplanned downtime is not simply advance notice. It affects communication, staffing, scope, safety checks, available systems and recovery. A mature readiness programme uses a common operating model while giving leaders distinct playbooks for each situation.
Planned downtime offers a preparation window
Maintenance windows may allow a hospital to publish a schedule, brief affected teams, stage materials, verify access and postpone nonessential work. That does not make the event low risk. Teams still need to know how to document, hand off care, respond to urgent exceptions and transition back without creating duplicate records.
Unplanned downtime creates uncertainty
Network failure, EHR disruption, power issues, vendor incidents and ransomware containment can change the available technology and expected duration quickly. The first communication should state what is known, what is not known, what teams should do now and when the next operational update will arrive.
